School Fee Management: 7 Basics Every School Office Should Get Right

A practical guide for private schools on fee structures, receipts, dues follow-up, transport fees, expenses and reports — and how software makes the school office simpler.

फीसSchool office basics

For most private schools fees are the main income — and the school office is where that income is either collected smoothly or lost in registers. These seven basics make the biggest difference.

1. Write the fee structure down, class by class

List every fee head — admission, tuition, transport, exam, activity — with the amount for each class and the instalment dates. When the structure is defined clearly, dues can be calculated rather than guessed.

2. Every rupee gets a numbered receipt

Cash, UPI or cheque, every payment should get a receipt with a running number, the student’s class and every fee head paid. Never reuse or skip numbers.

3. Know dues by class and by student

The question “who has not paid term 2 fees?” should take seconds. A class-wise dues list lets class teachers help with follow-up.

4. Remind early and politely

A short, polite message a few days before the due date works far better than a notice after it. WhatsApp click-to-chat messages are free and parents read them.

5. Treat transport as its own fee head

Route-wise transport fees, with the student’s route recorded, avoid most disputes about transport charges.

6. Record expenses the same day

Salaries, electricity, maintenance, stationery — recorded daily in the same system as fees, so income versus expense for the session is always available.

7. One monthly report for the management

Collected, pending, spent and balance — on one page, every month. When the management can see the numbers, decisions about fee revisions and spending get easier.
